Frequently asked questions

A FEW GENERAL QUESTIONS

Do you have employers product and public liability insurance cover?

Yes. We have employers liability insurance and Product and Public Liability insurance cover. Certificates can be supplied on request.
For more information regarding loss, damage, or cancellation download our terms and conditions of hire or call us.

Do you need to see the site before the event?

Not always. Often photographs and a description of the access are sufficient to decide whether or not a site visit is necessary.  If it is, we will make one.
However, if you would like to meet with us to discuss any of your ideas, we are happy to do this.

How can I stay in touch with Oasis?

Find us on Facebook , Twitter  and on our blog – we like to stay in touch!

How do I organise a booking?

Contact Us by phone or fill in our enquiry form to let us know about the event you are planning. If you tell us what you have in mind, and the proposed date, we’ll tell you right away whether we can help.
We then send you a written quotation, and will arrange to see the proposed site if deemed necessary.
To secure a firm booking we require a completed booking form (see Downloads section on this page) and a deposit of 30% of the quoted price (or full payment in advance if the value of the hire is less than £500 ex VAT and ex delivery).
All our prices are subject to delivery (unless otherwise agreed) and VAT at the standard rate.

For more answers to your individual questions please call us to discuss your event ideas

How much space should I allow for a dancefloor?

We recommend 2.6 square feet / person.
N.B. Allow approximately 5’ along one side of a space for the DJ/disco. Larger for a band on a stage.

How much space should I allow per person?

It depends entirely on what functions the tent or interior is to fulfil: dining, buffet, bar, reception, chill-out, dancing – or a combination of these. We’ll be happy to guide you if you call us on 01608 651100.

What about power supply?

For the tents the venue lighting can be powered from a 13-amp domestic supply or generator. Oasis switchboards and dimmers will enable you to control lighting levels.
Marquee lighting, heating and music don’t draw huge amounts of power and therefore you often don’t need a generator.
You may need one if the wiring in your house or at your site is old unreliable or far away from your party.
If caterers are cooking using anything that requires electricity rather than gas, then a generator will probably be necessary.

What does it cost to hire oasis?

This is most people's first question and we recognise that it needs a quick and reliable response. For Boutique Tents and Finishing Touches there are prices listed on our prices page.

For Stunning Interiors the hire charge depends on the scale and detail of the booking so we like to get talking with you to understand exactly what you require and / or would like - contact us here.

All our prices are subject to delivery (unless otherwise agreed) and VAT at the standard rate.

Special Offers run occasionally - check the special offers page for the latest ones.

What is the history of the company?

The company was founded in 1996 and has been a family-run business ever since.  Find out more here

What sort of access do you need?

All the equipment can be carried through a typical garden gate (30 inches width). Access is required within a reasonable distance of the event for Luton-type vans.

What will delivery costs be?

We are based on the Oxfordshire / Warwickshire / Gloucestershire border between Oxford, Birmingham and Bristol and will work out a charge for delivery, installation and collection for you individually.
This is based on the size of the job (how many vehicles the job requires), and the distance – please supply us with your postcode for a precise quote.
If you are hiring chill out furniture or any of our decorative items or other furniture or props and accessories on their own (i.e. there is no specialist installation of linings and lighting required by an Oasis team) you are welcome to co-ordinate your own collection and drop-off with us. Approximate arrival times are requested in advance of your hire.

BOUTIQUE AND BEDOUIN TENTS

Are the tents weatherproof as well as pretty?

The exteriors of our Boutique tents are made from heavy grade canvas with a PVC roof and will withstand heavy and prolonged rain without leakage. Multiple tents can be joined together with a gutter to create larger spaces. They have a pretty canvas valence to complete the bespoke look and are available in cream or a dark matt green colour. hey can be hired with interior marquee linings in a range of beautiful colours to suit your event or we can design bespoke marquee linings to make your party completely unique.

Are they warm?

Yes. With the double layer of fabric provided by the tent exterior and the marquee linings they will keep you snug whatever the weather. We use our tents for winter parties and Christmas parties by hiring our clients heaters - see below.

Can the tents be joined together?

Multiple tents can be connected to create a larger space, and are guttered to be water- and weatherproof.

Can they be joined to a building?

Generally yes, though things like door height and location of the tent compared to the house may impact how we do this. It is useful to have as much information as possible about the building, hright of the doorways, windows etc to work out the detail.

How are they heated?

For small groups and spaces we supply conventional domestic fan heaters which come with a thermostat to regulate and maintain a set temperature. For larger spaces we arrange thermostatically-controlled indirect diesel-fired heater from one of our trusted suppliers (these pipe warm air from the unit, which sits outside, into your tent; the temperature can be set from inside to regulate the temperature). Running for a few minutes before your event they will make the space warm, cosy and inviting for your guests, body heat will do the rest!

How long does it take to erect them?

Much depends on what sizes are involved, how many tents, and the nature of the site. Most set-ups can be erected, furnished and lit in a single day.

How many people do they hold?

When fully furnished with chill out furniture the comfortable capacities of the tents are: 4m x 4m: 15-20 guests 4.5m x 4.5m: 20- 30 guests 4.5m x 9m (two tents): 35-40 guests 9m x 6m: 50-60 guests 9m x 12m (two tents): 60-100 guests 9m x 18m (three tents): 80-180 guests If instead you intend to seat everyone at low-level Oasis banqueting tables or traditional tables and chairs the maximum capacities are: 4.5 x 4.5: 20 diners 4.5m x 9m: 30-40 diners 9m x 6m: 30-60 diners 9m x 12m (two tents): 60-80 diners 9m x 18m (three tents): 80-120 diners Alternatively if you require more people we dress marquees large and small, school halls, village halls, or (almost!) any other enclosed space using Oasis linings to provide a stunning transformation.

How many sides can be opened?

One side as standard, all of them with prior discussion. Please discuss your ideal setup with our office team who can advise on the best use of space - this helps in the planning process and ensures that we are prepared when we arrive on site.

How much room is required?

Because the guy ropes are not an absolutely essential part of our practical framed structures, and with tents able to be wsixed and guyed at angles, or with creative use of trees, flowerbeds and eyebolts to tie to, very little space is required around the tents, however allowing 1ft makes it easier for our team. The optimum overall "foot-prints" of the structures are: 4m x 4m tent - 6m x 6m (16ft x 16ft) 4.5m x 4.5m - 5.2m x 5.2m (17ft x 17ft) 9m x 6m tent - 9.7m x 6.7m (32ft x 22ft)

What sort of surface can they be placed on?

The tents can be erected on your lawn or on your patio or any reasonably flat area. They can be erected on hard-standing (such as tennis courts, concrete car parks and gravel drives) by prior agreement - we may need to bring wsixs to fix the marquee to the ground. Sometimes where significant additional wsixing is required an additional charge for these anchors may be required. The tents can also be erected inside buildings and venues. Or, we can transform a freestanding frame marquee if the site is unsuitable for one of our frame tents.

When do you put them up?

Our installations usually happen on Wednesdays, Thursdays and Fridays and collections are usually scheduled for Mondays and Tuesdays (the de-rigs are quicker!). We can also deliver/install/collect on Saturdays and Sundays. We have a can-do attitude, so talk to us about your requirements - we can usually make things work to suit your schedule. For example some clients have asked us to leave the tents or marquee erected until a Tuesday after a Saturday wedding, so they can have a charity function on the Monday. It's worth mentioning that the sooner you book your event the greater the chance we will be able to suit your timings.

Will the tent damage the grass on my lawn?

No. The marquees and tents are usually not erected for long enough to damage your grass permanently. The grass will temporarily go a yellowish colour but recovery will be quick. Our marquee and event crew are very good at being careful with your plants and have lovely client feedback about how dedicated to doing a good job they are.

FURNITURE, PROP AND ACCESSORY HIRE

Can I hire other Oasis items without a tent or lining?

Our full range of chill out furniture, and venue decoration accessories can be “dry-hired” to complement your event.  “Dry hiring” is when you collect our furniture from our warehouse on the Oxfordshire / Gloucestershire / Warwickshire border and deliver it back again after your event.
Of course, we will also deliver and collect your furniture and other items – in the summer months we have a £500 minimum ex VAT and ex delivery for this service. In the winter months we can be more flexible. Talk to us!

LAYOUT

Can you show me some layouts for my party

Some sample layouts for a range of event sizes will soon be available for your perusal here.  These layouts are based on the size of party.
We have many we can send you once we know a bit more about your event. Call us to discuss your ideas.

STUNNING INTERIORS

Can you transform the interior of conventional marquees and other venues?

Very much so, this is an area of our expertise. We have developed an array of different marquee lining fabrics and styles, in addition to Oasis Saffron which is used for authentic Arabian interiors, Thai or Spanish-themed events. We transform standard frame marquees, barns, village halls, studios or any similar structures of reasonable size, to accommodate any number of people. We can help you at any time of the year and in virtually any location. Examples include: Two 12m x 30m marquees for dinner and dancing for 350 guests. Under the arches next to London Dungeon for a month-long Christmas party venue Tractor barns in Perthshire and the Cornish coast Brunel's Old Station - the Passenger Shed - for 600 guests Local village halls all around the country for 20 to 100s of guests Hotel conference rooms for weddings

How do you attach the linings?

Inside a clear span marquee we can fix to the existing structure. Elsewhere rafters and beams can be used, or if necessary basic framework might be required, though we stock freestanding pipe and drape which is great for party venue decoration where we are not able hang roof fabric or fix to the existing building.

How long does it take?

The linings for even a large space can be completed within a day. For a large furnished event up to another day may be required to place carpets, furnishings and lighting. Click to see some examples of our marquee lining fabrics and styles.

What dimensions can you work to?

Almost anything. Different sizes of space may require different solutions.

What do you need to provide an estimate for an interior transformation?

Dimensions
What is the width? What is the length?
If it were possible to obtain a plan of the venue indicating these dimensions, including entrances and exits that will help us plan options available to you.

Height
How tall is the venue?
a) to the apex
b) to the eves (i.e. height from floor to top of the wall).

If there are Beams
How high are the beams?
Are they horizontal or raked?
How far apart are they from one another?

Access
Is there reasonable access to the interior of the venue (to be no more than 25m approx from suitable lorry parking?)
We usually request one day to install and half a day to collect before and after your event – is the venue amenable to this schedule?

Fixings
We sometimes install our linings using ropes and pulleys; would the venue owners be happy for us to do this?
We sometimes need to use a nail or staple here and there... would that be acceptable? If not there are other options but it’s important to know.

Other
is the venue wind and watertight?
Does the venue have power?

Any photos you might be able to give us would also be useful. Here are some examples of our venue transformation work.
